Corporate events succeed when attendees barely notice the logistics. Use this checklist when you brief your venue.
Four weeks out
- Confirm headcount range, date and start and end times.
- Decide the seating style: rounds for networking, theatre for presentations, or a mix.
- Share your programme so the venue can plan lighting and sound.
One week out
- Finalise the menu, including vegetarian, Jain and allergy needs.
- Test slides, microphones and any video on the venue's equipment.
- Send guests a map link and parking details.
On the day
- Arrive early for a walkthrough with the coordinator.
- Keep awards and speeches before dinner so the room stays attentive.
- Appoint one person to be the point of contact for the venue.
A calm evening is mostly the result of a clear brief.
